Graduate School Advisors!!

By Ross Leisten posted 05-02-2012 12:52 PM

During the March 2012 Alliance Conference, I had the opportunity to participate in an impromptu roundtable discussion organized by one of the attendees.  The discussion topic surrounded graduate study as it relates to Oracle’s PeopleSoft Campus Solutions product and existing Academic Advising functionality.  Circle participants had the opportunity to share their concerns as well as their solutions for dealing with ever changing requirements that are not always course based, often unstructured and built around individual student accomplishments.

Roundtable solutions ranged from the creative utilization of existing functionality, for example Student Groups and Milestones, to major product modifications and bolt-on development.  Current Oracle development surrounding Program Enrollment, including its Research and Activities Management components promises to solve some graduate issues, but whether the assessment and tracking functionality will be available within the Academic Advisement Report (AAR) has yet to be determined.

Hopefully, this blog will provide members of the Academic Advising Community who are intimately involved in graduate school activities with a somewhat organized (and segregated) venue for asking questions and sharing thoughts related to everyday issues found in the graduate world.

I’ll be monitoring blog activities and looking for common elements and themes that might someday lead to development aimed directly at graduate school advisement.

Grad AARs in use

Thanks for starting this blog. I just found it!

We have been using AARs in the grad world for several years.  They work well for our programs. We had to make one "design" change after implementation. We split out Grad universal requirements - Minimum GPA, All courses used, Courses not used- into it's own RG which applies to all grad degree seeking AARs. We had to remove these 3 requirements from each plan requirement group. This took care of some issues we were having.

We use milestones to track things like comprehensive exams and dissertation signoffs.

We also encourage the use of the Planner (plan by requirements) for students to map out their grad path. We run automated batch PLAN audits upon student matriculation so it is available in Student Services ctr.

Graduate School Advisors

I'm at exactly the same point as Jennifer -- our undergrad AA report has been live since the beginning of 2012-2013 academic year.   I'm just starting to see if a graduate AAR is feasible.

UW-Eau Claire did  not have a graduate version of our legacy degree audit, so this is newer ground than the undergrad, where I had existing coding to test my work.  Any help/comments are appreciated.

My Challenge: Launch Graduate AARs by Fall 2014

Hi Ross! I was actually in this roundtable discussion with you.  At the time, my Undergrad Advisment reports had been live for two years.  I had high hopes of tackling the Grad Programs immediately upon returning from the conference.  But then, my "Alliance High" wore off.  I returned to work and other projects took priority.

That brings us to 2013. My VP wants all Graduate Advisement Reports live by Fall 2014.  So, I'm interested to hear everyone's progress.  Have you successfully launched your Grad AARs?  What obstacles did you face? Can you share any pointers?

Thanks!

Thanks!

Thanks for posting this, Ross!  As the person responsible for graduate student advising reports here at Towson, I am very interested in learning more about how other institutions are using the AA module for graduate students.
