Duplicates and Clobbers – The Challenge of Keeping Accurate Person Records

At Washington State University we use an extensive query that is run daily to review for new duplicate person records. We use that same query to chip away at the years of duplications that were not maintained correctly in our legacy system. Playing the role of Sherlock Holmes, we investigate through the legacy system, and the multiple silo systems maintained at the university for Foundation Donor and Gifting, Alumni, Housing, Vet Med Hospital and others to acquire the accurate data. Noting and maintaining this investigation using One Note and Desk.Com ticketing to find the pieces and get one accurate record, as often as we can.

Older and Wiser: A Review of Our 3C Communication Implementation

In 2012, the University of Wisconsin-Platteville re-implemented PeopleSoft Campus Solutions. As part of the project, the Distance Learning Center, which administers 2 undergraduate and 6 graduate fully-online programs, decided to start using 3C communications. This session will present information useful to anyone that is considering or recently began using delivered communication functionality. Topics include the role of administrative functions, the importance of naming conventions, determining and organizing the setup information, custom extract data queries, and using the Content Library.

Throughout their candidature, students are responsible for keeping their personal particulars (including official name, citizenship, contact details and emergency contacts) updated in the University's records in a timely manner. However, students do not do so diligently. Hence, there is a need to get students to verify and update their critical information on a regular basis. It is compulsory for students to verify/update their personal data before they can proceed to view and verify their academic data for that term.

The presenter will share the workflow on how the student goes through the verification process and the types of personal information a student will need to verify and update before he/she can proceed to view and verify their academic data for that term.

Using 3Cs Communications for New Student Provisioning

Tufts University implemented a series of 3Cs Communications to deliver information to new students on how to set up their login credentials and university email address, provide them with information on schedule changes, and remind them about billing balances and deadlines. This session will cover lessons learned in setting up the 3Cs process.

File Parser - From the Basics to Advanced functionality

This presentation will highlight a File Parser development project at Northwestern University to load and update Constituent and Application Data in CS from the Slate vendor Product. Through the example of this project, we will discuss basic File parser setup to include Context definitions, Conversion Definitions, and file mapping definitions. We will also show how to use and create calculated values as well as how to code and create extensions to the Constituent and Application entities to load data from custom staging records into both custom and delivered production records.

Communication Generation for Wait list & Repeat Processes

Central Washington University is using CommGen to notify students who were on the waitlist for a specific course and have now been added to the class. This was historically a manual process that involved the students being on the waitlist, us running a query to identify the population of students then manually sending out email notifications. It required lots of staff time to run processes and document who was contacted. With CommGen, we enhanced the pop select query to identify the same population, then set up CommGen & 3C Engine to create the email and notify the students. Peoplesoft keeps a record of all the notifications and is set to run on a nightly process, freeing up staff time and resources.

Duplicate IDs -- Our journey from nightmare to daydream

The University of North Carolina at Chapel Hill went live with Campus Solutions version 9.0 in 2009, within the first year 190,000 new emplIDs were created, with thousands of duplicates. Recognizing that this model was not sustainable long term, UNC appointed a committee composed of stakeholders across campus whose charge was to reduce the number of duplicate emplIDs created. Since 2009, UNC has implemented a variety of business process changes, process improvements, and system bolt-ons to reduce the number of duplicate emplIDs created and to streamline the person creation process. These changes have significantly reduced the total number of emplIDs created, in 2012-2013 academic year the number of new emplids generated dropped to 57,000. Despite these improvements, UNC was still averaging approximately 5000 duplicates emplids created each year.

In October 2014, UNC went live with PeopleSoft HCM and Finance modules, moving to a fully integrated system with Campus Solutions serving as the system of record for person data. This go-live included roll-out of a custom person creation page and process changed to significantly limit the number of users who have access to create and update person data. Our goal is to reduce the number of duplicates created annually from 5000 to 1000.

Bringing It All Together: Student Message Center Built on Delivered Functionality

The Student Message Center was created to expose Communications to students within Self Service. This page displays the Communications generated with Comm Gen (Letters and Emails) in a format similar to an email inbox. This gives students a central location and access point for all of their communications within Self Service. There is a setup page which is controlled by each Campus and Administrative Function giving specific departmental control over the messages displayed in the Student Message Center. Audit tracking functionality is built into the Message Center so that departments know the date that a student read/acknowledged a specific communication.
