Fleming College successfully upgraded to Campus Solutions 9.2 in June of 2017. Users of CS 9.2 are being introduced to a variety of new functions and features including Forms. For those of you that have been exposed to Forms in the past, it has likely been in the Financials Application via your own school or through one of our HEUG members over the past few years. Forms allow users to submit transactions through two aspects of the Approval Notification Framework; User Lists and Email Notifications.

The Office of the Registrar at Fleming College has recently celebrated its 50th year employing a paper-based withdrawal form process using carbon copy, triplicate carbon lists and most recently a single-page document. Over the years the paper has been hand-delivered or couriered to various groups within the RO and across the college as stakeholders were required to sign-off on a student’s withdrawal request from the college. Processing time for requests have varied from days to months and have even resulted in the accidental loss of the request to a shredding bin.

This presentation will highlight the steps being taken to transition from the paper-based withdrawal form to the usage of the new delivered Form functionality in CS9.2. We’ll talk about how Forms are configured and associated with User Lists associated with the Approval Framework. Next, we will focus on how the Approval Framework was configured to notify appropriate stakeholders associated with the withdrawal process and how those users are asked to interact with the Forms. We’ll conclude by sharing our findings as a result of implementing this new process in the Fall 2017 term. Findings will focus on process efficiencies gained, student user feedback, and opportunities for improvement for the upcoming winter term and beyond.
