Meet the 2011-12 Admissions PAG

It’s my pleasure to introduce the 2011-12 Admissions PAG!

 

For those of you that are new to HEUG, the Product Advisory Groups (PAG) are composed of six to nine representatives from HEUG member institutions that are tasked with communicating with the user community about new features/problems; getting input from the user community about important issues and topics; and advocating to Oracle for enhancements and solutions to problems.  Essentially, we are here to represent all of you and help us improve the usability of Campus Solutions.

 

In addition, we as a PAG are responsible for helping organize the Admission track for the Alliance conference.  This year the Alliance Conference is March 18-21, 2012 in Nashville. (Watch for a call for proposals soon—hint, hint.)  

 

I know some of you are HEUG and Alliance veterans who have met us before—even multiple times—in our emails, at our Community Session, Birds of a Feather or the Alliance.  Maybe you even hung out with us in Denver, but these introductions come with a new twist.  Check out our profiles to find out what each of us is doing on the Admissions PAG this year and our areas of PeopleSoft expertise, cool mods we have on our campuses, and cool new things we hope to do at our schools this year.

Name:  James Brown, University of Glasgow

PAG position: Issue Tracker—he’s the guy that reviews issues you submit at HEUG online and helps you find the best path for resolution.

Major PeopleSoft achievements:  Going live with Admissions, Student Financials, Financial Aid, Student Records, Campus Community and Academic Advisement by September 2011.  Planning CRM for Enquiry and Events in July 2011 following up with CRM for Student Support in October 2011.

Components in Campus Solutions my school uses exceptionally well:  AAWS, UK extensions for admissions including UCAS/GTTR and Points Based Immigration.

Cool mods my school has that might be of interest to others (especially new CS clients): Auto Evaluation of undergraduate applications through UCAS and custom front end web application for Direct Admissions that interfaces with AAWS.

New functionality we hope to implement within the next year:  Full CRM, test score load for IELTS and Pearson Vue English tests.

 

Name: Ryan Chreist, University of Colorado Boulder

PAG position: Track Chair—he’s the guy that will be prompting you to submit proposals for Alliance 2012 in Nashville and ensure we have a well-rounded information track of Admissions sessions.

Major PeopleSoft achievements: Implemented Campus Solutions 9.0 and CRM 9.1

Components in People Soft my school uses exceptionally well:  Prospect, Communication Generation, Interfacing with CRM and Enterprise Portal, Events Module

Cool mods my school has that might be of interest to others (especially new PS clients): Summary Page for Admissions Information, Self Service event registration/status check/confirm enrollment, Auto-checklist assignment with dynamic school assignment

New functionality we hope to implement within the next year:  Workflow/Worklist for routing of applications to evaluators.

 

 

Name: Darlene Daclan, California State University Systemwide

PAG position: Listserv Monitor—she reads our list serve postings, chimes in when she can, and makes sure our admissions community is asking questions and getting answers.

Major PeopleSoft achievements: Implemented Campus Solutions v8.9 at 21 CSU campuses; In the process of upgrading 21 CSU campuses to Campus Solutions v9.0

Components in PeopleSoft my school uses exceptionally well: Test Score loads and checklists

Cool mods my school has that might be of interest to others (especially new PS clients): Auto Evaluation, Applicant Inquiry Page

New functionality we hope to implement within the next year:  As we get all our campuses upgraded, the v9.0 features like Pop Select and CommGen

 

 

Name:  Stephanie Dean, Madison Area Technical College

PAG position: Assistant Track Chair—she is the Joe Biden of the Admissions Track helping ensure Alliance 2012 Admissions Sessions rock the house!

Major PeopleSoft achievements: Implemented Campus Solutions 7.6 (2002), 8.0 (2005), 8.9 (2007) and 9.0 (July 2011) Upgrade.

Components in People Soft my school uses exceptionally well:  A custom process which loads our application data from a third party vendor which includes application information, education, residency and our state board client reporting information and auto load of COMPASS test scores every 10 minutes which updates the test score information and places the student a student group of registration.

Cool mods my school has that might be of interest to others (especially new PS clients): Customize non-program in-take which activates our students in degree and non-degree career and term activates the student  for the current term and one future term, message center in the Student Center,  auto wait list process which assigns an applicant a wait list number in a student group and query to manage the in-take process, and customized display for ToDoList which includes the program and the term the applicant applied.

New functionality we hope to implement within the next year:  Move all communications to CommGen.

 

 

Name: Debbie Littlefield, Marquette University, Milwaukee WI

PAG Position: Communication Rep—she’s the one that will be emailing you throughout the year on behalf of the PAG with information, how to’s, fun stuff and asking tough questions (i.e. To blog or not to blog?)

Major PeopleSoft achievements: Implemented Campus Solutions 8.0 (2003) and 9.0 Upgrade (2008)

Components in People Soft my school uses exceptionally well:  We do all our prospecting in PeopleSoft.  We also use delivered Transfer Credit Evaluation effectively.

Cool mods my school has that might be of interest to others (especially new PS clients):  Applicant Summary Screen, Prospect Summary Screen, 3c summary screen, add mass communications, Reporting Tables for apps, prospects and high schools, custom app and inquiry downloads.

New functionality we hope to implement within the next year:  AAWS Online Application.

 

 

Name: Joe Manning, James Madison University; Harrisonburg, VA

PAG position: Training Coordinator.  Joe will keep you in the loop on the latest and greatest training opportunities including webinars offered by the PAG this year!

Major PeopleSoft achievements: PeopleSoft beta partner – implemented Campus Solutions in 1996; upgraded to Student Administration 9.0 November 2010.

Components in PeopleSoft my school uses exceptionally well: We use TS189 to load all application data (relationships, essay, activities, and residency) into PeopleSoft pages. Letter Generation is used with prospects, applicants, and enrolling students within PeopleSoft to communicate information and verify critical applicant data. We are huge fans of Checklists and have automated the assigning and completing of Checklist Items and Checklists. We developed several Component Interfaces that assist with application processing – assignment of region/recruiter, receipt of application fee, and program action entry.

Cool mods my school has that might be of interest to others (especially new PS clients): We implemented an External Load Suspense Report used to research possible matches when loading prospects, applicants, and test results. We developed a Prospect Load where prospective students complete an online web form and their data is searched/matched and loaded into PeopleSoft tables similar to loading test results. Macro Scheduler has enabled an end user to develop scripts for data processing where Component Interfaces are expensive to develop.

New functionality we hope to implement within the next year: We have been working on an Applicant Center project hoping to implement within the year. Applicants will view their application status, checklist items, test results, and admission decision online. They will also be able to verify their bio/demo data and accept offers of admission and waitlist online.

 

 

Name:  Jason Masciantoni, Brandeis University

PAG position: Survey Guy.  You’ll be hearing from Jason on topics for which we need to hear from you.  Save a tree—and have your voice heard!  Fill out J’s surveys when they show up in your email.

Major PeopleSoft achievements: Implemented 7.5 (1998), 8.0 (2002), 9.0 (2009), 9.1 (2011)

Components in People Soft my school uses exceptionally well:  Search/Match - Duplicate Management Control.  By utilizing delivered search/match and applying the same standard to all external loads, we've managed to significantly reduce errors. 

Cool mods my school has that might be of interest to others (especially new PS clients): Electronic recommendations from instructors and teachers for applicants.  We've developed a real time mechanism for applicants to provide recommender data which pushes an email and a log in, real time, so recommenders can log into and provide data for the applicant, including attachments.  We've also utilized as much delivered functionality to manage this data and have appropriate checklist items update when said data is received.

New functionality we hope to implement within the next year:   The Portal!

 

Name: Jason McIntyre, The Australian National University

PAG position:  PAG Librarian.  He’s the guy that keeps an electronic history of the PAG’s work including newsletters, surveys/results, priorities, and puts documents you care about on HEUG Online.

Major PeopleSoft achievements: Upgraded PeopleSoft Financials 8.8, upgraded Campus Solutions 9.0. Implemented CommGen for all Admissions decision communications.

Components in People Soft my school uses exceptionally well: Our CommGen communications leverage checklists to provide flexibility as to what information can be contained within a communication. This means that one template can be used for communications with an unending variety of different ‘blocks’ of text.  

Cool mods my school has that might be of interest to others (especially new PS clients): We have developed an ‘Application Evaluation Centre’ which provides a summary of application information and a very easy to use evaluation recording tool (leveraging on comment functionality).

New functionality we hope to implement within the next year:  (Nothing significant from an Admissions perspective)

 

Name:  Mark Nelson, University of Michigan

PAG position: Chair.  He’s the guy that makes the Admissions PAG run smoothly to help us all get the most out of our PeopleSoft Product and our Alliance Conference.

Major PeopleSoft achievements: Upgraded Campus Solutions 9.0 (2008)

Components in People Soft my school uses exceptionally well:  Search/match, prospects, test score loads, large application loads (60,000+ annually)

Cool mods my school has that might be of interest to others (especially new PS clients): File upload of action/reasons, evaluations, communications, custom Web Application Status, custom online evaluation, auto purge of communication records, dupe ID management

New functionality we hope to implement within the next year:  Working on CS/HCM database split this next year.
