Subject: BA Tools #1: Why Snagit is my most-used application

If you’ve ever tried to explain a complex issue or a walk-through a specific workflow using only words, you know the frustration of the back-and-forth email chain, or the misunderstood Slack chat.  In the world of Business Analysis, clarity is our ultimate currency. A picture isn't just worth a thousand words—it’s worth about three fewer meetings.

That’s why the first tool in our "Software you can’t live without" series is SnagIt by TechSmith.

How it’s used
While most operating systems have a basic "snipping" tool, SnagIt is the professional-grade version that BAs use to bridge the gap between business stakeholders and developers. It allows you to do the following:

  • Create annotated screen shots:  Whether it is highlighting one section of a page, or blurring out personal data, SnagIt is the ultimate screen shot application.
  • Step Tool: This is a total game-changer. It automatically creates numbered bubbles (1, 2, 3...) as you click, making the creation of user documentation incredibly fast.
  • Scrolling Windows: Perfect for those long web pages or endless screens that don't fit on one page.
  • Video Snippets: Great for recording a quick 30-second "walk-through" of a process to show a developer exactly where a glitch occurs.

When it is useful

  • Requirements Gathering: Take a screenshot of a legacy system and use the "Simplify" tool to strip out the noise, leaving only the fields you want to discuss for the new build.
  • User Testing: When a process is not working as designed, use SnagIt to created a video or screen shot to share with developers.  You can use the Blur tool to instantly hide sensitive data (like SSNs or private info) before sharing it with your Development team.
  • Training Materials: Quickly creating "How-To" guides that look professional without needing a graphic designer.

Ideas for Best Practices

  • Standardize Your Call-outs: Pick a consistent color for all your arrows and text boxes. This trains your stakeholders' eyes to know exactly where the "important stuff" is every time they open your documents.
  • Harness the OCR (Grab Text): If you have a screenshot of a data table or an error message you can't copy/paste, don't re-type it. Use Snagit’s "Grab Text" feature to pull that text directly into your requirements doc or an Excel sheet.
  • Consider upgrading to a paid version – SnagIt Assets are available to paid subscribers, and these include professional-level graphics, stamps, and integration with Camtasia and Audiate.

The Bottom Line: SnagIt turns "I think I know what you mean" into "I see exactly what you mean." It is the ultimate tool for reducing ambiguity.

What about you? Do you have a favorite SnagIt hack, or is there another screen-capture tool you swear by? Reply and let me know!

Stay tuned for Post #2, where we’ll talk about managing the "Source of Truth" in Jira.

Cheers!

Tom — I also use Snagit and  couldn’t live without it. The scrolling capture feature is invaluable for capturing long pages. I especially appreciate the editor tools, like Blur, which makes it easy to redact sensitive information before sharing, and Cut Out, which lets me quickly remove unwanted sections from a long capture and focus only on what’s needed.
