  • 1.  Using multiple programs on one application

    Hi All,

    USC is looking to record preferences in the admissions module and would like your feedback.

     

    Currently in Student Admissions when you add a new
    application you can attach multiple Academic Programs to the application using
    the Program Number field (Student Admissions > Application Entry > Add
    Application > Application Program Data).

     

    To date we have only ever added one Academic Program to each
    application (all Program Number 0) but are thinking of using this feature for
    students to select multiple preferences via an online application.

     

    Is anyone currently adding more than one program to an
    application and if so did it present any issues/challenges ?

    Hi Amanda,

    Federation University uses AAWS to drive our online applications. Whilst we do allow applicants to apply online for multiple programs at the one time, we don't class them as 'preferences' as such and the system treats them as separate applications (i.e. the applicant has one application per program in the system) I think the main reason for this was a business one; the business was concerned about implications and complexities around DEEWR reporting and the impact multiple programs attached to one program may have. Systematically I don't believe it was an issue.

    Amanda,

    ANU has been using application programs as preferences since forever. We have not experienced any problems with this, although we have made a modification to the 'add application' to hide the 'add a row' button. We found that when users were manually adding applications into the system (which was the primary entry method when the modification was introduced) they were confusing the add button under this functionality to be the same as the add button on application maintenance.

    The add button on add application adds new programs, while the add button on application maintenance adds new rows for an existing program. We were finding users were adding what they thought were new rows (such as admit etc) for the one program but in fact were creating distinct program/preferences.

    The only other thing I can think of is the fact that we made a decision that we needed the 'Basis of Admission' to be application program specific. The delivered 'Basis of Admission' area is by application. As a result of this, we use the APPL row to record a program action reason that acts as our basis of admission and we have modified the DEEWR processing to identify this as the Basis of Admission instead of the delivered area.
