Utilizing the Enterprise Content Management system to digitize the existing manual papers/documents has become a trend for many organizations. This is normally done within the departments/processes by simply scanning and indexing the documents for subsequent online retrieval. This presentation will share about the recent ECM initiative at HKUST. It provides a step-by-step guide of rolling out the ECM systems for certain processes within the initial pilot departments, and approach/principles to digitize the massive backlog documents. The challenges in establishing the University-archiving policies and standards, integrating with the backend PeopleSoft and other applications, and meeting the long-term objectives of sharing the relevant documents at the University-level will be shared. The related business process re-design and the necessary change management practices are also highlighted.The vendor Hyland would also share similar implementation experiences and challenges in other universities in North America.
