MacEwan University has a number of degree programs with various major and minor combinations across faculties. The need arose to transition business processes and PeopleSoft configurations to allow students to submit declarations online themselves for competitive or non-competitive majors and minors during specified time periods. MacEwan is able to differentiate block transfer and subsequent baccalaureate degree students by using student attributes. Queries and the ability to approve or deny individual declaration requests allows advisors to manage the declaration process in a more efficient manner despite having some manual intervention for some student groups. A major advantage is that students and advisors can see every declaration request submitted, and declaration request changes can only be made by the student themselves. By utilizing the 3C communications function, students are well informed of every stage of the declaration process. They receive notifications at certain stages of the process: if they have tried to declare outside of the time period, if they have chosen combinations that are not possible, if they have declared a competitive program, when they should expect a decision, once a declaration has been processed and to confirm, or even if a declaration is not approved or processed. By using the delivered functionality in PeopleSoft and one or two customizations and pages, this initiative saves many manual hours of inputting declarations into the system and potential data errors. The ability to provide statistics on student declaration behaviors and trends will increase student engagement and university efficiency.
