The Univ of Pretoria [UP] has an "Events Management Committee" that reviews all submissions received to hold an event on any of the UP campuses - and then either grants, or denies, permission. Recently the historically paper-based application process has been converted to Online (Self Service) function - built in PeopleCode - that enables applicants to complete a structured set of sections about their Event application; upload pertinent attachments; route this request through a workflow with differing approval paths depending on the nature of the requested event, until the request is auto-appended to the Event Management Committee's agenda - where a final decision is made. The functionrecords the requested and approved usage of uniquely identified venues/spaces; assists in the management of on-campus security, parking and traffic control - and includes a costing and billing component for charging internal or external customers for the hire of requested venues.
