Prior to being hired in to the system, new employees are emailed a unique URL via PeopleSoft, which gives them access to the university's online data collection portal. They are then able to enter their Social Insurance Number, and when needed, the expiry date and supporting documentation. Once submitted, the SIN is saved within PeopleSoft, in either the applicant profile or the person record. This ensures that, unless manual intervention is required, no one needs to see the employee's SIN.A self service page was also developed for existing staff and students to allow them to provide their SIN, update their expiration date for a temporary SIN and upload supporting documentation when required.
