Campus Solutions Go-Lives - The University of North Carolina at Chapel Hill

Deloitte and The University of North Carolina at Chapel Hill’s are pleased to announce that the ConnectCarolina project has successfully implemented the financial aid and student registration modules of Oracle’s PeopleSoft (v9.0) Campus Solutions. After several years of planning and preparation, these go-lives took place on schedule in March 2010, allowing more than 15,000 students to register for Fall 2010 classes and receive financial aid packages for the 2010-2011 academic year.


This transformational project is replacing UNC-Chapel Hill’s aging legacy systems with a sophisticated administrative system that will help the University compete in research, student recruitment, and faculty and staff retention.


ConnectCarolina is migrating UNC-Chapel Hill’s core student system because of a loss of vendor support for financial aid regulatory updates after December 2009. Student systems will be replaced in a phased approach through 2010. PeopleSoft will also be used to upgrade the University’s Human Resources (HR), Payroll and Finance systems; implementation will take place from 2010-2013.
 

Financial Aid
The Office of Scholarships and Student Aid (OSSA) is processing financial aid applications for the 2010-11 academic year in ConnectCarolina. Students will receive notification of eligibility and other information relating to the financial aid application process beginning in late April.

Student Records -- Registration
Fall 2010 registration in ConnectCarolina took place April 12-22 for rising sophomores, juniors and seniors as well as all graduate students (first year students will register at summer orientation sessions). Some 15,000 students registered for nearly 75,000 Fall 2010 classes in the new system. The go-live was remarkably smooth, with no major problems and only a very few minor issues reported.
Students received email notification on March 3 from the Office of the University Registrar that the registration system was available for them to view the Schedule of Classes and begin planning for Fall 2010. An extensive student outreach and support effort provided opportunities for students to learn the new system over a six-week period.
 

Major milestones along the way to this go-live included:
·Converting 10.6 million enrollment records from the legacy student information system into PeopleSoft;
·Converting the University’s course catalog, including 210,439 rows of data representing 27,148 distinct courses;
·Converting academic program and degree records from back to 1953, comprising more than 1.4 million rows of data, almost 350,000 students and more than 250,000 awarded degrees;
·Building the Fall 2010 schedule of classes from the ground up, ensuring accurate and current data.


Upcoming Go-Lives
The ConnectCarolina team will continue to implement Student Billing, Academic Advisement, and Graduate and Professional Schools Admissions over the next few months. The Campus Solutions implementation is expected to be complete in October 2010.
 

Previous Go-Lives
In summer 2009, the first ConnectCarolina go-lives centered around the University’s person and identity management systems. More than 800,000 people records were successfully converted from legacy systems to the new ConnectCarolina environment, making PeopleSoft the canonical source for person data.

The second successful go-live of the ConnectCarolina project was a new undergraduate admissions online application that went live as scheduled in August 2009. The team developed the customized online application to integrate with PeopleSoft and fulfill the University’s specific needs.
