The University of Adelaide’s staff recruitment processes recently changed to collect more information on appointment, to assist the University to evidence essential compliance with the regulations monitored by the Tertiary Education Quality and Standards Agency (TEQSA) and to submit required information to external ranking bodies. This includes evidence of birth country/citizenship, visa/work rights, and academic qualifications. In addition to this information regarding disability, ATSI status, emergency contact, personal contact details, prefix, gender, and language spoken at home was gathered.
Although the recruitment systems were adjusted to collect the information for new staff, the University needed a way to gather this information from existing staff, including casuals.
In January 2018 a campaign was launched by the Vice-Chancellor encouraging all staff to visit Staff Services Online (SSO) to complete a Staff Census. This staff census was developed using the PeopleSoft Activity Guides for staff to enter the information in one place, which then populated the related SSO and core PeopleSoft pages. Through this campaign the University achieved an 81% completion rate amongst the non-casual workforce. The completion from casual staff through this campaign was minimal.
In order to gather this information from existing casuals, the university used the roll-out of its Casual Automated Payment System (CAPS) replacement in June 2018 to do this. It was mandated that all casual staff complete an onboarding task through their casual engagement using the PeopleSoft Activity Guides – very similar to the Staff Census. The information has now been gathered for all casual staff who are engaged to work in Semester 2 of 2018 and will continue to be captured using this method in the recruitment of all new casual staff.
