Managing Student Registration Confirmations Using Activity Guide

New Brunswick Community College (NBCC) has been using a paper based program registration for many years and institution was facing number of challenges to deal with registration and backfilling of seats. Recognizing the need for change, NBCC decided to implement Student Activity Guide functionality with assistance from Deloitte to address these challenges and also revisit their existing business process to make the registration easier and simpler for incoming students.
This session will discuss review the design challenges and solutions that were a part of the project.
At the heart of the solution is the newly created Program Registration Activity Guide Master Template, which consists of both delivered and custom components. For notifications (communication i.e.. assignment, reminders and completion of the Task) both Notification Framework and 3C’s were assess for all registration related but because NBCC wanted to keep track of all out going communication therefore 3C notification framework was used instead.
This implementation also overcomes the known security issue by matching User ID on each action item load event, system doesn't allow someone go forward if underlying User ID’s didn’t match with the actual student ID responsible for completing task.
Another challenge overcome was that since Activity Guide Framework does not have batch process to manage statuses of assigned tasks and even after due date the Task remain available to students, a custom App Engine based batch process is designed to update the overdue tasks status to Cancel and once the status is cancel the students won't be able to view and complete the Task.
