Student Status Letter on-the-GO!

Previously, a student will need to submit request for the student status letter via any one of the options below:
(a) Submit an online request through a ‘Request for Student Status Letter’ system. The respective student administration (Undergraduate, Graduate Research, Non-Graduating) team in Registrar’s Office (RO) will process the request, depending on the career of the student. The administrator will generate and print the letter from SIS. The letter is either mailed out to the student or s/he can come to RO and collect in person.
(b) Student Service Centre (SSC) – student can seek assistance from staff at SSC to print the status letter from SIS.
(c) Faculty – Graduate coursework students can approach the Faculty administrator, who can print the status letter from SIS.

Administrators receive requests for student status letter daily. However, the requests peak after examinations in each semester as students require the letter for application of jobs. Administrators will have to attend to these numerous requests, amidst their other work duties. They will also have to check manually for students assigned a Negative Service Indicator (NSI) with impact of withholding student status letter and not to issue the letter to the students.

By having a self-service function for students to view and generate the status letter, a student no longer needs to wait for the administrator to process his/her request to print out the status letter. In addition, it also reduces the workload of administrators in processing the many requests. The new function will also check for students with the NSI automatically and will not allow them to view and print the status letter.

The presenter will share more about ‘View My Student Status Letter’ in the session by covering the following:
1) How students and administrators can view and print the status letter
2) Where the information displayed in the letter is coming from
3) Further enhancements for student status letter
