Session Title: Enhancing the Student Refund Process with Integration and leveraging 3C's with Smart Queries

By leveraging refund check messaging from the PeopleSoft Finance Management System to PeopleSoft Campus Solutions, the University of Texas at Dallas has been able to create smart queries that are attached to a 3C engine run control which sends out automated communications to our students who have outstanding refund checks. This process has reduced our stale checks greater than 180 days by 90% in one year.
We also integrated TouchNet Bill Payment Suite 9.5 EFT information with PeopleSoft Campus Solutions. With all of the information now centralized within PeopleSoft Campus Solutions, we scheduled a daily query that pulls all the pertinent information regarding a student’s refund check, as well as details around the student account. This query has allowed us to better manage our outstanding refund checks and communicate with our students.
Lastly, UTD enhanced the PeopleSoft Campus Solutions Self-Service interface by creating a “My Refunds” page. This page allows students to view all refunds created for them, information about the refund, and the status of the refund, which has reduced the number of phone calls and emails from students.
